Cancellation & Refund Policy
At Stella Fleur LLC, we understand that life happens, and plans can change. Our goal is to offer flexibility while ensuring fairness for all clients and the sustainability of our small business. Please review the following policies carefully, as they vary depending on the service booked.
Definitions
For the purposes of this cancellation and reschedule policy, the terms:

"Client," "their," "they," and "your" refers to the individual, group, organization, or entity that books services with Stella Fleur LLC. This includes, but is not limited to, the person(s) responsible for making payments, signing contracts or agreements, and communicating changes or cancellations to Stella Fleur LLC.

The "Client" assumes full responsibility for adhering to all terms and conditions outlined in this policy, including payment deadlines, cancellation requirements, and any additional fees that may apply.

"Stella Fleur LLC," "we," and "our" refers to the business entity owned and operated by Stella Fleur, providing pole dance performances, private lessons, group parties, and pole rentals. Stella Fleur LLC includes its owner, employees, contractors, representatives, and any other individuals acting on behalf of the company to deliver its services.

All decisions, approvals, cancellations, refunds, or modifications referenced in this policy are made solely at the discretion of Stella Fleur LLC. The company reserves the right to enforce these terms and conditions as outlined in the booking agreement.

Group Parties​

Payment Policy:

A non-refundable deposit of 50% is required at the time of booking to secure your event date.

​The remaining balance is due no later than 1 week (7 calendar days) before the scheduled event date and time.

If full payment is not received by this deadline, the party will be canceled, and the deposit will not be refunded.

Last-Minute Bookings:

For bookings made less than 1 week (7 calendar days) before the scheduled event date and time, the full amount (including the deposit) is due at the time of booking.

Cancellation Policy:

Notice Requirement: Cancellations must be submitted via email to stellaonthepole@gmail.com, and the cancellation email must be received no later than 1 week (7 calendar days) before the exact date and time of the scheduled party.

For example: If a party is scheduled for November 30, 2024, at 7:00 PM, the cancellation email must be received no later than November 23, 2024, at 7:00 PM. Emails received after this deadline (e.g., November 23, 2024, at 7:01 PM) will not qualify for any refund.

Refund Terms: The deposit is non-refundable under any circumstances. However, if a cancellation email is received at least 1 week (7 calendar days) additional payments made toward the remaining balance, excluding the deposit.

Cancellations made less than 1 week (7 calendar days) before the scheduled party or failure to attend the event will result in the forfeiture of all payments.

No Rescheduling: By booking with Stella Fleur LLC, clients acknowledge that if they need to cancel for any reason, they will forfeit their deposit and will not be allowed to reschedule the original booking.

Clients may book a new party date and time, but this will require a new deposit to secure the booking.

Exception for Stella Fleur LLC Cancellations: If Stella Fleur LLC needs to cancel a scheduled party due to unforeseen circumstances (e.g., emergencies or illness), clients will be given the option to reschedule their party for a mutually agreed-upon date and time without requiring a new deposit. In such cases, all previously made payments, including the deposit, will be applied to the rescheduled party.

Performances

Payment Policy:

Rescheduling:

Clients may reschedule their performance to a new date and time if notice is provided at least 30 calendar days prior to the originally scheduled performance date and time, and Stella Fleur LLC has availability for the requested new date and time.

Approval for rescheduling must be confirmed in writing, and all previously paid amounts, including the deposit, will be applied to the rescheduled performance.

Rescheduling requests made less than 30 calendar days prior to the scheduled performance will not be accommodated, and all payments will be forfeited.

Changes to the Original Performance Request:
-
Any changes to the original performance details (including, but not limited to, routine theme, performance duration, number of performers, props, or staging) must be requested and approved by Stella Fleur LLC at least 15 calendar days before the scheduled performance date and time. Approval of such changes is subject to availability and feasibility. Additional fees may apply based on the nature and scope of the requested changes.

Changes requested fewer than 15 calendar days before the performance date and time will not be accommodated, and the original details of the performance will remain binding.

Stella Fleur LLC reserves the right to decline any requested changes deemed unreasonable or impractical.

Exception for Stella Fleur LLC Cancellations:

If Stella Fleur LLC must cancel a performance due to unforeseen circumstances (e.g., emergencies or illness), the following options will be offered:
-
Find a replacement performer (if available) to perform at the scheduled date and time, in which case the client will also receive a refund of the deposit and any payments made toward the final balance; or
-
Provide a full refund, including the deposit, to the client; or
-
Retain the deposit and any payments toward the final balance, which may be applied to a future performance scheduled within 6 months of the original date, based on Stella Fleur LLC's availability.

Pole Rentals
- Payment Policy:
- A non-refundable deposit of 50% is required at the time of booking to secure the pole rental date and time.

The remaining balance is due no later than 7 calendar days prior to the scheduled pole rental date and time.

For bookings made less than 7 calendar days before the scheduled rental, the full amount (including the deposit) is due at the time of booking.

Cancellation Policy:

All cancellations must be submitted via email to stellaonthepole@gmail.com.

To qualify for a refund of any payments made toward the remaining balance (excluding the deposit), the cancellation email must be received no later than 7 calendar days prior to the exact date and time of the scheduled rental.

Example: If the pole rental is scheduled for December 10, 2024, at 2:00 PM, the cancellation email must be received by December 3, 2024, at 2:00 PM. Emails received after this deadline (e.g., December 3, 2024, at 2:01 PM) will not qualify for a refund.

Late Cancellations and No-Shows:

Cancellations made less than 7 calendar days prior to the scheduled rental date and time, or failure to pick up or use the rented pole at the agreed-upon time, will result in forfeiture of all payments made, including the deposit.

Rescheduling Policy:

Clients may reschedule their pole rental to a new date and time if notice is provided at least 7 calendar days prior to the originally scheduled rental date and time, and Stella Fleur LLC has availability for the requested new date and time.

Approval for rescheduling must be confirmed in writing, and all previously paid amounts, including the deposit, will be applied to the rescheduled rental.

Rescheduling requests made less than 7 calendar days prior to the scheduled rental will not be accommodated, and all payments will be forfeited.

Extension of Rental Period:

Clients wishing to extend their pole rental period while the pole is in their possession must submit a request via email to stellaonthepole@gmail.com at least 48 hours before the scheduled return date and time.

Extensions are subject to availability and approval by Stella Fleur LLC.

Additional charges will apply for the extended rental period, and the client must pay the additional fees in full prior to the extension being granted.

Failure to return the pole by the agreed-upon time without prior approval for an extension will result in late fees as outlined in the rental agreement.

Exception for Stella Fleur LLC Cancellations:
-
If Stella Fleur LLC must cancel the rental due to unforeseen circumstances (e.g., emergencies, illness, or equipment issues), the client will be offered the following options:
-
Reschedule the rental to a new date and time based on availability; or
-
Receive a full refund, including the deposit.

Private Lessons
Definition of Credit: A credit refers to a pre-purchased session for a private pole dance lesson, redeemable within the specified time frame.

No Refunds: Once purchased, private lesson credits are non-refundable.
-
Credit Expiration: All credits must be used within 120 calendar days of the purchase date. Unused credits after this period will be forfeited.

Rescheduling Policy: Clients must cancel or reschedule their private lesson at least 24 hours prior to the scheduled time to avoid forfeiting their credit.

Late Cancellations: If a client cancels less than 24 hours in advance, their purchased credit will be forfeited, and no rescheduling or refund will be provided.

No-Shows: Clients who do not show up for their scheduled lesson will lose their credit without the option to reschedule or receive a refund.
